Buying a learning management system (LMS) is easy. Getting employees to finish their training — and proving it to auditors — is the hard part. Before you compare vendors, decide what success looks like for your organisation, then use this checklist.

1. Can you bring the content you already have?

Most organisations already own training material: slide decks, videos, PDFs and e-learning packages from authoring tools. A good LMS lets you:

  • Build courses from video, documents, images and web pages
  • Upload SCORM packages and track them like native courses
  • Add quizzes with pass marks, attempts and instant feedback

If you are starting from scratch, a library of ready-made workplace courses can fill the gap while you build your own.

2. Does it guide learners, or just list courses?

A catalogue of 200 courses overwhelms people. Learning paths solve this: courses in the order you choose, assigned by role, department or onboarding stage. Combined with a personal dashboard that shows progress and upcoming exams, learners always know what to do next.

3. Is certification automatic?

For many industries, training only matters if it is certified and current. Look for:

  • Certificates issued automatically when requirements are met
  • Recurring training that reminds people before a certificate expires
  • Clear records of who completed what, and when

4. Can managers see what matters?

Reports should answer simple questions quickly: who is overdue, which teams are behind, and which courses people abandon. If managers need to export to spreadsheets to answer those questions, adoption will suffer.

5. Does it fit your structure?

Branches, subsidiaries and client companies often need their own space while head office keeps oversight. Multi-branch or multi-tenant setups make that possible without running separate systems.

6. Does it connect to HR?

When employees join, move or leave, the LMS should know. Integration with your HR system keeps users, departments and managers in sync automatically.

7. Will people actually enjoy using it?

Mobile-friendly courses, forums for peer learning and a clean interface make a real difference to completion.
